AI prompt: reply to a negative Google review

A copy-and-paste AI prompt that turns a 1- or 2-star Google review into a calm, specific public reply: apologise once, name the problem, say what changed and take it offline.

Google reviewsLocal businessesPublished

When to use it

An unhappy customer has left a 1- or 2-star Google review and you want to reply in public without sounding defensive, copy-pasted or careless with their privacy.

  1. Copy the prompt below.
  2. Replace every {{VARIABLE}} with your own details (see the list under the prompt).
  3. Paste it into the AI chat tool you already use.
  4. Read the reply against the checklist before you post it on Google.

The prompt

You are helping a local business owner reply to a negative Google review. Write the public reply the owner will post under the review.

BUSINESS
- Business name: {{BUSINESS_NAME}}
- Type of business: {{BUSINESS_TYPE}}
- Who signs the reply (first name and role): {{SIGNER}}
- Best way for the reviewer to reach us directly: {{CONTACT}}
- Tone: {{TONE}}

THE REVIEW
- Reviewer name as shown on Google: {{REVIEWER_NAME}}
- Star rating: {{STARS}}
- Review text: {{REVIEW_TEXT}}

PRIVATE FACTS (for your understanding only; never quote them or reveal private details in the reply)
- What actually happened, from our side: {{WHAT_HAPPENED}}
- What we have changed or are doing about it (write "nothing yet" if nothing): {{WHAT_WE_CHANGED}}
- Anything the reply must not mention (industry rules, privacy, legal): {{DO_NOT_MENTION}}

RULES FOR THE REPLY
1. Open by using the reviewer's first name and thanking them for the feedback. Do not start with "We're sorry you feel".
2. Say sorry for the specific problem they described, in one sentence that starts with "We're sorry" and names the problem in plain words. Apologise once. No excuses, no blaming the customer, staff or "a busy day".
3. If we have made a change, describe it in one sentence. If the answer is "nothing yet", say only that we have shared the feedback with the team. Never promise anything we did not list.
4. Invite them to contact the signer directly using the contact above so we can talk it through.
5. Do not argue with the facts in the review, even if our private facts differ. Do not reveal job details, prices, addresses, health details or anything the reviewer did not write themselves.
6. Do not ask them to change, update or remove the review, and do not offer a discount, refund, gift or anything else in return for it.
7. Do not invent facts, numbers, guarantees, policies or awards.
8. Keep it between 50 and 100 words, in short sentences, with no exclamation marks, no emojis and no hashtags.
9. Finish with a sign-off line in this exact format: {{SIGNER}}, {{BUSINESS_NAME}}

Return only the finished reply, including the sign-off line, and nothing else.

What to fill in

Your business name exactly as it appears on Google.
{{BUSINESS_TYPE}}

{{CONTACT}}
The phone number or email the reviewer should use to reach that person.
{{TONE}}

The reviewer's name as Google shows it.
{{STARS}}
The star rating they left.

{{DO_NOT_MENTION}}
Anything that must stay out of a public reply: staff names, prices, addresses, health details.

WHAT_WE_CHANGED
The office now calls the next customer as soon as a technician is running late.
